Executive Summary: 
 

The Engineering and Public Works (EPW) Department's main objective during and after winter storm events is to ensure the safety and accessibility for vehicles on all 219 center-lane miles of Village-owned roadways and 679 courts and cul-de-sacs. To help accomplish this goal, the Village has established reimbursable snow removal agreements with numerous multi-family Planned Unit Developments (PUDs) to assume snow plowing responsibilities in 255 cul-de-sacs within their associations.  The remaining 424 cul-de-sacs in single family home areas are managed through a contract by the EPW Department. 

 

The contract for Snow Removal in Cul-de-Sacs was awarded to Plote Construction on October 22, 2019 and allowed for two (2), one (1) year optional extensions. A letter was mailed to Plote Construction informing them of the Village's interest to renew the contract for FY 2021/22 - the second optional year extension. Plote Construction did not request a Consumer Price Index increase and accepted the Village's renewal offer. The term of this extension will be November 1, 2021 through April 30, 2022.

 

Staff has been satisfied with the services provided by Plote Construction and recommends that the contract be extended for the FY 2021/22 budget period.

 

Since services and expenses are based on severity of the weather, staff is requesting approval for the entire budget amount of $300,000.

 Recommended Action:
 

The Village Manager recommends that the Engineering and Public Works Committee recommend the Village Board approve a contract renewal for snow removal in cul-de-sacs with Plote Construction of Hoffman Estates, IL for a one (1) year period from November 1, 2021 through April 30, 2022 not to exceed the total budgeted amount of $300,000.
