Executive Summary:

On September 14, 2021, Village Board approved the purchase of two Chevy Silverados for the replacement of two Engineering and Public Works pickup trucks, one from the Water Division and one from the Storm Division. These vehicles were approved for replacement as part of this year’s Vehicle Replacement Program. Per the vehicle replacement summary report, both vehicles ending point total had them fall into a replacement category of Immediate Attention.

However, due to the microchip shortage, the contract through Sourcewell was closed resulting in the inability to procure these vehicles. We have pivoted to rebuild these vehicles as one Ford F250 and one Ford F350 and are looking for approval to make this purchase. The cost is $2,162.22 higher to change from Chevys to Ford. This increase is a result of some increased cost to the up-fitting equipment. This purchase remains under budget.

A committee of Village employees worked with the manufacturer’s distributor, National Auto Fleet Group (NAFG), who was awarded this contract by Sourcewell, to select a replacement for the Ford pickup truck from Storm and the Dodge pickup from Water. We then priced out the necessary model and equipment for these units. The final replacement Ford F250 and F350 being submitted for approval reflects pickup trucks that will best serve the Village of Schaumburg’s Water and Storm Divisions.

Water’s vehicle, Truck 81, is used for pulling their shoring excavation trailer on dig ups, daily repairs on hydrants, b-boxes, valves, etc., hydrant flushing, water billing shut offs and turn ons, and daily rapid response calls. Storm’s vehicle, Truck 87, is used for the daily operations in the division which include JULIE locates, rapid response calls, and snow and ice plowing, when needed.

Staff recommends purchasing one 2022 Ford F250 and one 2022 Ford F350 through National Auto Fleet Group, Sourcewell (formerly National Joint Powers Alliance) contract #120716-NAF.

Upon receiving the new units, Staff will list the old units on Public Surplus to recuperate funds from the sale. The estimated salvage value of these two units is $7,000.
